SPF Records

An SPF (Sender Policy Framework) record is a DNS TXT record that helps prevent email spoofing. It lists which servers are allowed to send email on behalf of your domain.

If you're using Crossware Email Signature with Microsoft 365 or Exchange Online, add Crossware’s sending servers to your SPF record. That ensures signed emails routed through Crossware aren’t flagged as spam.


Prerequisites

  • Access to your DNS management console (e.g., GoDaddy, Cloudflare, Namecheap)


Check for an Existing SPF Record

  1. Use a tool like MXToolbox SPF Lookup or Kitterman SPF Record Testing Tool.

  2. Note if there is an existing SPF record (only one SPF record should exist).

Create or Update the SPF Record

  1. Log in to your DNS provider.

  2. Create or edit a TXT record for your domain’s root (often @).

  3. Add the SPF entries based on your region. Here’s how to include Crossware properly:
